Position Overview:

\n

The Transition Project Coordinator supports the Advisor Integrations Manager in executing day-to-day project operations for advisor transitions and M&A integrations. Under the manager's relationship-building and strategic direction, this role tracks project milestones, coordinates meetings and agendas, maintains task tracking, and manages internal communication across departments. The coordinator is responsible for the project related and operational execution of transitions while developing relationship management and client-facing skills.

Key Responsibilities:

  • Track transition milestones, schedules, and deliverables across multiple concurrent transitions; monitor progress and report status to the Advisor Integrations Manager
  • \n
  • Schedule and coordinate transition meetings (kickoff, weekly updates, status reviews); prepare agendas, meeting notes, and action item tracking
  • \n
  • Manage transition-related data in Excel and reporting dashboards; assist in preparing weekly progress reports with transition metrics and key performance indicators
  • \n
  • Support relationship building with internal departments (compliance, legal, IT, client services) and external partners (custodians, vendors) under manager guidance; develop communication and coordination skills through hands-on experience
  • \n
  • Track advisor progress through training modules, milestones, and assessments; support training scheduling and report acclimation status to the Integrations Manager
  • \n
  • Monitor day-to-day transition alerts and cleanup items; flag priority issues to the Advisor Integrations Manager for direction and resolution
  • \n
  • Support maintenance of centralized repository of transition documents, checklists, and SOPs
  • \n

Qualifications:

\n

Education

\n

Bachelor's degree in business administration, finance, project management, or related field preferred.

\n

Experience

\n
    \n
  • 1-3 years of relevant experience in project coordination, operations, wealth management, or client relationship management (or equivalent demonstrated competency)
  • \n
  • Experience supporting transition initiatives, process improvements, or cross-functional projects a strong plus
  • \n
  • Demonstrated proficiency in Excel (pivot tables, VLOOKUP, data validation, conditional formatting)
  • \n
  • Experience with CRM platforms, business intelligence tools, or project management software (Asana, Salesforce, Tableau) is a plus
  • \n

Ability to identify issues early, escalate appropriately, and adapt to changing priorities. Self-motivated and able to work under direction; takes responsibility for assigned tasks, follows through on commitments, and flags items that need attention without waiting to be asked.

Communication & Collaboration

\n

Strong written and verbal communication skills with the ability to listen carefully and follow directions clearly. Comfortable assisting with cross-functional coordination under direction. Developing ability to explain transition processes and build relationships through hands-on experience and manager mentorship. Willing to learn relationship-building practices as a collaborative support resource within the team.

Technical Proficiency

\n

Strong Excel skills (pivot tables, VLOOKUP, data validation, conditional formatting) and comfort with data entry, validation, and quality assurance. Able to troubleshoot technical issues and comfortable learning new software platforms and tools (Salesforce, Tableau, project management software).
